About the Institute
The Hong Kong Institute of Planners (HKIP) is the statutory professional body representing town planners in Hong Kong. Established in 1978 and incorporated by ordinance in 1991, HKIP promotes excellence in planning practice, education, and public awareness. The Institute is recognized locally and internationally, with members actively contributing to advisory and statutory bodies and advancing sustainable development in Hong Kong.

Job Responsibilities

●       Manage and prioritize correspondence, including emails, letters, and phone calls.

●       Maintain organized filing systems for both physical and electronic records.

●       Handle procurement, payment processing, and record keeping for invoices and contracts.

●       Coordinate and support meetings, online webinars, seminars, workshops, exhibitions, and other Institute events.

●       Provide administrative support to the Council and Committees.

●       Assist in publicity, website updates, and social media communication.

●       Maintain effective liaison with members, government departments, professional bodies, media, and other stakeholders.

●       Perform ad hoc projects and duties as assigned.

Requirements

●       Tertiary education or above in any discipline, lower education level will also be considered.

●       At least 2 years’ relevant experience in administrative support or event coordination is preferred. Candidates with more experience may be considered for Senior Administrative Officer.

●       Strong communication, interpersonal, and customer service skills.

●       Highly self-motivated and able to work independently with minimal supervision.

●       Excellent organizational, problem-solving, and time management skills.

●       Proficient in MS Word, Excel, PowerPoint, and Chinese word processing.

●       Able to communicate in basic English and Chinese.

●       Willing to work flexible hours, including occasional evenings or weekends for events.

●       Skills in design, website maintenance, and social media management are advantages.

●       Full-time is preferred ; Part-time arrangement will also be considered.

Employment Terms

●       Work-from-home and other benefits: Negotiable and subject to mutual agreement.

●       Overtime arrangement: When evening or weekend work is required for events, overtime allowance or time-off in lieu will be provided.
